Octoolo in short
Octoolo is one desktop app for Windows 10 and 11 that holds 17 apps: editors for video, photos, vector art, PDFs and sound, a media player, Documents, Spreadsheets and Presentations, Converters, Productivity, Downloads, Passwords, Files, Text Studio, Dev Toolbox and a Calculator. It replaces a shelf of separate programs (and many websites people upload their files to): files are opened, edited and converted on the person's own PC, not uploaded anywhere.

The 17 apps
Octoolo's home screen shows the apps in five groups. Each app has its own document.

Every task each app does, and the few that are still coming, are listed in All apps and tasks. The search box on the home screen finds any app or task by name ("merge pdf", "mp4 to mp3", "remove background").
How Octoolo works
- On the PC. The apps run in Octoolo's own window. Files stay on the computer; Octoolo has no cloud storage and does not upload files to work on them.
- Some parts download once. To keep the installer small, the video engine (FFmpeg) and the AI models (background removal, upscaling, the vocal remover, the translator) download the first time a feature needs them, then work offline: Downloads on first use.
- What it sends. Update checks, license checks for Octoolo Cloud, usage statistics (which apps and tasks are used, never files or their names; they can be turned off) and what people write in Help and feedback; and, only when someone uses them, the Passwords app's leak check (the first 5 characters of a password's SHA-1 fingerprint, never the password), the one-time downloads above and the Downloads app's own downloads. Never the person's files: Privacy and data.
- The subscription is checked with octoolo.com from time to time; the paid apps keep working offline for a while between checks (License and account).
What Octoolo is not
Say these plainly when asked:
- Not for Mac, Linux, phones or tablets. Octoolo is a Windows 10 and 11 app (64-bit, x64 installer). There is no web version of the apps; octoolo.com is the website and the account page.
- No cloud sync or sharing. Nothing is stored online, so nothing syncs between PCs or with a phone, and two people cannot edit the same file together. One subscription can be used on more than one PC (see Prices and limits), but each PC keeps its own files and data.
Not a downloader for video streaming sites. The Downloads app downloads files from links, not videos from streaming sites or streams.
Not an online converter. Conversions run on the PC; nothing is uploaded.
No browser extensions and no add-ins for other programs. In Windows, Octoolo adds itself to File Explorer (an Octoolo item in the right-click menu, which can be turned off; Octoolo in the "Open with" list of archives; double-clicking a locked
.olockfile unlocks it), and it can start with Windows and keep an icon in the taskbar's corner so Productivity's reminders and screen time work.
Words used in these documents
- App: one of the 17 (Video Editor, PDF Editor...). Its id (
video,pdf,archivefor Files) is how the code and these documents name it. - Task: one job an app does, such as "Merge PDF" (
pdf-merge). Search finds tasks. - Octoolo Cloud: the subscription that opens the paid apps.
- License key: the key emailed when a subscription starts, which turns Octoolo Cloud on on a PC.
- Engine: a part that downloads on first use (FFmpeg, an AI model, a translator direction).
- The home screen: the first screen, with the apps, the search and the sidebar.
