Spreadsheets

Budgets, lists and sums, in Excel files.

What it is

Spreadsheets (app id sheets) is Octoolo's spreadsheet editor, for the jobs people use Microsoft Excel, Google Sheets or LibreOffice Calc for: budgets, lists, invoices, timesheets and sums. It opens and saves Excel workbooks (.xlsx), opens CSV, TSV and delimited text files, and saves a sheet as CSV or PDF.

It has a grid with several sheets, formulas (107 functions of its own plus about 270 more Excel functions through the formula.js library), help while typing a formula, number formats, AutoSum, sorting, the fill handle, find and replace, frozen top rows and three templates.

Everything happens on the PC: files are opened and saved where the person chooses, and nothing is uploaded. Spreadsheets works offline.

Opening it and what it costs

  • On the home screen Spreadsheets is in the Documents group, next to the PDF Editor, Documents and Presentations. The home search finds it by words like "excel", "xlsx", "csv", "sheet", "formulas" or "budget", and finds the Invoice maker task by "invoice", "bill", "receipt" or "quote".
  • Addresses inside Octoolo: #/app/sheets and #/app/sheets/invoice-maker. A shortcut can open it with Octoolo.exe --open=app/sheets (this opens the app; it cannot open a particular file).
  • Spreadsheets needs Octoolo Cloud (the subscription) or its free trial. Prices, the trial and the free apps are in Prices and limits.
  • Octoolo does not register itself with Windows for .xlsx or .csv files: double-clicking one in File Explorer still opens Excel (or whatever program Windows uses). To open a file in Spreadsheets, use Open a file, pick it under Recent, or drag it onto Spreadsheets' start screen.
  • The Help and feedback button (speech bubble) at the right of the title bar opens Octoolo's Help and feedback page about Spreadsheets, where a message can be sent to Octoolo's support. Pressed while a workbook is open, it leaves the workbook without asking about unsaved changes; the unsaved changes come back through Continue where you left off (see "Drafts and recovery in Spreadsheets").

Tasks

Spreadsheets is one editor. In the catalog the whole app is the entry spreadsheet-editor (Spreadsheet editor): "Budgets, lists and sums with formulas. Opens and saves Excel files."

  • Invoice maker (invoice-maker): fill in a ready-made invoice and save it as a PDF. Open Spreadsheets (searching "invoice" on the home screen opens it), choose the Invoice template under Start something new, fill it in, and use Save as PDF… (see "How to make an invoice in Spreadsheets").

How to make an invoice in Spreadsheets

  1. Open Spreadsheets and, under Start something new, click Invoice ("Items, tax and a total").
  2. At the top, replace "Your Company", "Street, City" and "you@example.com" with your details, and set Invoice no. (it starts at 0001 and is kept as text, so its zeros stay).
  3. Under Bill to, type the client's name and address over "Client name" and "Client address".
  4. In the table (Description, Quantity, Unit price, Amount), type one item per line. Two example lines ("Design work", "Hosting, one year") and two empty lines are there. Amount is Quantity × Unit price and fills in by itself.
  5. Below, Subtotal adds the amounts, Tax rate starts at 20% (click it and type yours, such as 8% or 0%), Tax and Total follow at once.
  6. Date shows today's date through the formula =TODAY(), and Due is the date plus 30 days. TODAY() changes every day the file is opened, so before sending, type the date over it (for example 8 Oct 2026) or select it and press Ctrl+; for today's date as a fixed value. To change the payment terms, edit the Due formula (=E2+30) to +14 or +60.
  7. Press Save to keep the invoice as an .xlsx, then open the arrow next to Save and choose Save as PDF…; pick a name and a folder.

More about the invoice template:

  • Amounts use the format "#,##0.00" (two decimals, no currency sign). Select them and choose Currency ($), Currency (€), Currency (£) or Currency (₺) from the number format menu to show a sign.
  • For more items, select an item row and use Rows and columns > Insert a row above or Insert a row below. The subtotal (=SUM(D11:D14)) counts a new row only when it is inserted between the first and the last item line: insert below the first, second or third line (or above the second, third or fourth), not above the first line or below the last one. Copy the Amount formula into the new row with the fill handle.
  • A discount or shipping is an item line (a discount with a negative price).
  • A tax rate with decimals, such as 8.25%, shows as 8% until you press More decimals; the tax is worked out on the exact rate either way.
  • The sheet's name ("Invoice") is printed as a small heading above the invoice in the PDF; rename the tab by double-clicking it.
  • Spreadsheets cannot hold pictures, so the invoice has no logo. Add one to the PDF afterwards with the PDF Editor.
  • Invoices are not numbered automatically: type the next number yourself.
  • The last line says "Thank you for your business. Payment within 30 days."; type over it to change it.

The start screen: new workbooks, templates, recent files and drafts

Spreadsheets opens on a start screen: "Opens and saves Excel workbook files (.xlsx, .csv, .tsv, .txt). Everything stays on this computer."

  • The back arrow ("All apps") at the top left goes back to Octoolo's home screen.
  • Open a file (top right) shows Windows' Open dialog, filtered to those types.
  • Continue where you left off appears when the last workbook had changes that were not saved (see "Drafts and recovery in Spreadsheets"), with "<name>, changed <time ago>, not saved". Continue opens it with those changes; Discard throws the draft away.
  • Start something new: Blank spreadsheet ("Start from nothing") and three templates:
    • Monthly budget ("Planned against actual"): Income (Salary, Other income) and Expenses (Rent, Groceries, Transport, Utilities, Phone and internet, Going out, Savings) with Planned, Actual and the difference, totals, and "Left over".
    • Invoice ("Items, tax and a total"): see "How to make an invoice in Spreadsheets".
    • Expense tracker ("Spending by category"): Date, Category, Description and Amount, with example expenses, a summary by category made with SUMIF (Food, Transport, Home, Fun, Total), and the top row frozen. When Octoolo runs in Spanish, Portuguese or German, the template text is in that language. A new workbook is called "Untitled.xlsx" (or the template's name) until it is saved.
  • Recent lists recent .xlsx, .csv, .tsv and .txt files, newest first, with their folder and when they were used. The list is shared with Octoolo's other editors, so .csv and .txt files opened or saved in Text Studio show here too, as do CSV copies saved from Spreadsheets. "Moved or deleted" marks a file that is gone (it cannot be clicked); the x ("Remove from the list") takes one off the list without touching the file. With nothing in the list, the start screen says "Files you open or save here show up in this list. You can also drop a file anywhere on this page."
  • Dropping a file anywhere on the start screen opens it (only the first one when several are dropped). A dropped file has no place on disk for Spreadsheets: Save asks where to save it, like Save as, and it joins Recent only once it is saved.

How to open and edit an Excel workbook

  1. Open Spreadsheets from the home screen.
  2. Press Open a file and choose the .xlsx (or a .csv), or click it under Recent, or drag it onto the start screen.
  3. If the workbook holds things Spreadsheets cannot keep, a message at the bottom names them, for example "Octoolo could not keep this workbook's charts and conditional formatting."
  4. Click a cell and type; press Enter to put it in. Switch sheets with the tabs at the bottom.
  5. Press Save (Ctrl+S) to save over the workbook. If step 3 showed a message, Spreadsheets first asks "Replace the original <name>?" ("<the message> Saving over the file replaces the original with this version."): Replace the original overwrites it, Save as a new file saves a new workbook and leaves the original as it was. A workbook dropped on the start screen is always saved as a new file, so it is not asked.

The title bar shows the file's name and "Saved", "Unsaved changes", "Not saved yet" or "Saving…". Finish what you are typing in a cell (Enter) before saving: an entry still being typed is not in the saved file.

Typing in cells in Spreadsheets

Click a cell (or move to it with the arrow keys) and type: what you type replaces the cell. Press F2, double-click the cell, or click in the formula bar to change what is in it instead. Enter puts it in and moves down, Tab moves right, Esc cancels. While typing over a cell the arrow keys put the entry in and move (except in a formula right after =, an operator, a comma or a bracket, where they do not); while editing (F2) or typing in the formula bar they move inside the text. Alt+Enter starts a new line inside the cell.

What you type is read the way Excel reads it:

  • Numbers: 12, -3.5, 1e6, (250) for -250. Thousands separators and the decimal sign follow the Windows display language (1,234.5 in English, 1.234,5 in German); the status bar shows which, as "1,234.5" or "1.234,5" ("Your decimal separator").
  • Percentages: 12% becomes 0.12 shown as 12%.
  • Money: $1,200, 1,200 €, £5, ¥300, ₺40, ₹99 or 40 TL become numbers with a currency format (written with the separators of Windows' language).
  • Dates and times: 2026-10-08, 2026-10-08 14:30, 10/8/2026 (month first when Windows' language writes dates month first, as US English does; otherwise day first), 8.10.2026 and 8-10-2026 (day first), 8 Oct 2026, 14:30, 2:30 pm. They become real dates you can sort and subtract.
  • TRUE and FALSE become yes/no values.
  • Text that starts with an apostrophe (') stays text, so '00123 keeps its zeros and '1/2 does not become a date. The apostrophe is not shown.
  • Formulas start with = (see "Formulas in Spreadsheets").

Choosing the Text number format does not stop typed numbers and dates from being converted: type an apostrophe first.

Ctrl+; puts today's date in the selected cell as a fixed value.

The grid: selecting, moving and the formula bar in Spreadsheets

  • The grid starts with 200 rows and columns A to Z; more rows and columns appear as you scroll. Formulas can refer to cells up to row 1,048,576 and column XFD, as in Excel.
  • Click a cell; drag or Shift+click to select a range; click a column letter or a row number to select it (drag or Shift+click for several); the corner above row 1 selects everything.
  • Ctrl+A on a filled cell selects the block of filled cells around it; pressing it again (or pressing it on an empty cell) selects every used cell.
  • The name box at the left of the formula bar shows the selected cell or range ("The selected cell; type a cell to go there"): type B12 or A1:C20 and press Enter to go there.
  • The box after fx shows what is in the cell (the formula, not its result); click in it to edit.
  • Error values show in red; point at one to read what it means (see "Formula errors in Spreadsheets").
  • A number too wide for its column shows ### when it has a number format; widen the column.
  • The status bar shows "Ready", "Editing: Enter to finish, Esc to undo" or "Click a cell to put it in the formula", the tip "Type = to start a formula", and for a selection of several cells their Sum, Average and Count (only Count when there are no numbers).

Formatting cells in Spreadsheets

The toolbar, from left to right:

  • Undo and Redo (200 steps).
  • Number format menu (see "Number formats in Spreadsheets"), Fewer decimals (.0) and More decimals (.00).
  • Bold, Italic, Underline, Strikethrough.
  • Text color (with Automatic) and Fill color (with No fill and light fill colors), each with Other color….
  • Align left, Center, Align right: click the active one again to go back to automatic alignment (numbers right, text left, TRUE/FALSE and errors centered).
  • Wrap text: long text wraps onto several lines and the row grows to fit.
  • Borders / Remove borders: a thin border on all four sides of every selected cell. There is no choice of sides, thickness or color.
  • Sum (AutoSum) and its arrow ("More quick formulas"): Sum, Average, Count, Smallest, Largest.
  • fx ("Functions"): the list of functions with help, by group, with a search ("Search: total, average, lookup, date…"); picking one starts the formula in the selected cell.
  • Sort A to Z, Sort Z to A.
  • Rows and columns (table icon): insert and delete rows and columns, freeze rows.
  • Find (magnifier, at the right end).

There is no control for the font or the text size of cells. Cells show in Segoe UI; text sizes from opened workbooks and templates are kept and shown. Text that does not fit runs over into empty cells to its right, as in Excel.

Number formats in Spreadsheets

The Number format menu shows the selected cell's format by name (or "Custom" for a format from a file). It offers:

Separators and month names follow the Windows display language. Fewer decimals and More decimals change the number of decimals of the format (0 to 10). Excel's own format codes from an opened file are kept and shown, with simplifications: colors such as [Red] are ignored, conditions such as [>100] are not understood, and language or currency codes in square brackets (such as [$-409] or [$€-2], which Excel writes for some date and currency formats) show as text in the cell; choose one of the formats above for those cells. "Automatic" shows up to about 11 characters and very large or very small numbers in scientific notation (1.23457E+11).

Rows, columns, freezing and sheets in Spreadsheets

  • Rows and columns menu in the toolbar: Insert a row above, Insert a row below, Insert a column to the left, Insert a column to the right (as many as are selected), Delete row 5 or Delete rows 2–4, Delete column B or Delete columns B–D, Freeze the top row, Freeze rows 1–N (when the selected cell is in row 3 or lower: the rows above it) and Unfreeze (shown when rows are frozen). The right-click menu of the cells has Cut, Copy, Paste, the same four insert commands, Delete this row / Delete these rows, Delete this column / Delete these columns, Sort A to Z, Sort Z to A and Clear contents. On a column letter its insert and delete commands are only the column ones, and Fit the width to the content is added; on a row number they are only the row ones.
  • Right-clicking a column letter or a row number does not select it: the menu acts on what is already selected. Click the letter or number first, then right-click it, so Delete this column or Fit the width to the content acts on that column.
  • Formulas everywhere follow inserted and deleted rows and columns. A formula that pointed only at deleted cells shows #REF!.
  • Column width: drag the right edge of a column letter; double-click the edge, or select the column and right-click its letter > Fit the width to the content, to fit it (up to 600 pixels). Rows get taller by themselves for bigger text and wrapped text; row heights cannot be dragged.
  • Freezing: frozen rows stay at the top while the rest scrolls. Messages: "The top row stays in view.", "The top 3 rows stay in view.", "No rows are frozen." Columns cannot be frozen.
  • Sheets: the tabs at the bottom. + ("Add a sheet") adds Sheet2, Sheet3 and so on. Double-click a tab to rename it (Enter to finish, Esc to cancel): names are up to 31 characters, the characters [ ] : * ? / \ are removed, and a name another sheet already has (or an empty name) is refused without a message: the tab keeps its old name. Right-click a tab for Rename, Duplicate (a copy named "Name (2)"), Move left, Move right and Delete (not offered for the only sheet; it does not ask, and Undo brings the sheet back). Formulas follow a renamed sheet; formulas pointing at a deleted sheet show #REF!.

Sorting, AutoSum, the fill handle, copy and paste in Spreadsheets

Spreadsheets sorts by one column at a time: there is no sort by several columns and no custom sort order.

  • Sort A to Z / Sort Z to A (toolbar or right-click): click a cell in the column to sort by and press it. The whole block of filled cells around it is sorted by that column, row by row; a first row in bold, or of text above numbers, is treated as headers and stays on top. With a range selected, only that range is sorted, by the active cell's column. Numbers come before text, then TRUE/FALSE, then empty cells; text is compared ignoring case, with numbers inside text in natural order. Message: "Sorted by column B, A to Z." A one-row block gives "Select the column to sort by, inside your data."
  • AutoSum (Sum or Alt+=): in the cell under a column of numbers it writes =SUM() of the numbers above (or of the numbers to the left when there are none above). With a range selected it puts a total under each column. The arrow gives Average, Count, Smallest and Largest the same way. "Select the cell under (or beside) your numbers, then AutoSum." means there were no numbers next to the cell.
  • Fill handle: the small square at the bottom right of the selection ("Drag to fill"). Drag it down, up, left or right. Two or more numbers continue their step (1, 2 → 3, 4); a single date continues day by day; text ending in a number counts up (Item 1 → Item 2); month and weekday names continue (January, Jan, Monday, Mon, in English or in Windows' language). Anything else is copied, and formulas adjust their references. Ctrl+D fills the selection down from its top row, Ctrl+R right from its left column.
  • Copy, cut and paste: Ctrl+C ("Copied A1:B3."), Ctrl+X ("Cut. Paste where it should go."), Ctrl+V, or the right-click menu. Inside Spreadsheets a paste keeps formulas and formatting; copied formulas adjust their relative references, cut ones do not; pasting into a larger selection repeats the copy. The clipboard also gets the values as shown, tab-separated, so they paste into Excel, Google Sheets or a text editor. Text copied from other programs (Excel, Google Sheets, a web page) is pasted as values, split on tabs and lines, and read as if typed; formatting and formulas from other programs are not pasted. Esc removes the copy outline. If the right-click Paste says "Press Ctrl+V to paste.", use the keys.
  • Delete or Backspace clears the contents and keeps the formatting; Clear contents and formats (command search) clears both.

Find and replace in Spreadsheets

Ctrl+F (or Ctrl+H, or the magnifier) opens "Find in this sheet". It finds the text cells show, results of formulas included, ignoring upper and lower case, and selects each match: "1 of 4", Enter for the next, Shift+Enter for the previous, Esc to close. Under it, "Replace with" and Replace all replace the text in every matching cell of this sheet, then say "Replaced in 3 cells." Replace all changes what was typed in the cells, not formulas (cells with formulas are skipped). There is no Replace for one cell, no search across all sheets, and no match-case or whole-cell option.

Formulas in Spreadsheets

A formula starts with =, as in Excel: =SUM(B2:B9)*1.2, =IF(A2>100,"big","small"), =VLOOKUP(A2,Prices!A:B,2,FALSE).

  • References: A1, ranges A1:C9, whole columns A:A and rows 1:3, other sheets Sheet2!A1 or 'My sheet'!A1:B5, fixed parts with $ ($A$1, A$1). F4 does not add the $ signs; type them.
  • Operators: + - * / ^ (power), & (join text), = <> < > <= >= (compare), % after a number (divide by 100), brackets.
  • Arguments are separated by a comma or a semicolon; both work. Numbers inside formulas use a dot for decimals, whatever the language (=ROUND(1.5,0)); in =ROUND(1,5;0) the comma separates arguments.
  • Function names are English (SUM, not SUMME or SOMA) and can be typed in lower case: when the entry is put in, names, references and sheet names are written in capitals or as the tab is written, and missing closing brackets are added.
  • Help while typing: after = and a few letters, up to 8 matching functions appear with what they do; Up and Down choose, Tab (or Enter) takes one. Inside a function a hint shows its arguments with the current one in bold.
  • Pointing: while typing a formula, after =, an operator, a comma or a bracket, clicking a cell (or dragging over a range) puts its reference into the formula; clicking again replaces it. Each reference is outlined on the grid in its own color.
  • When a formula cannot be read, the cell stays open with the reason and "Press Esc to undo the typing.": "The formula ends too early.", "A bracket is not closed.", "SUM( is not closed.", "Unexpected “x”." or "This formula cannot be read."
  • Every change recalculates every formula in the workbook, including formulas on other sheets. TODAY(), NOW(), RAND() and RANDBETWEEN() are worked out again at each change and when the file opens.
  • A formula that depends on its own cell (a circular reference) shows #CYCLE!; there are no iterative calculations.
  • Formulas that return several values (array formulas, Excel's spilling functions such as SORT or TRANSPOSE) show only their first value.

Functions Spreadsheets calculates itself

These 107 functions are Octoolo's own:

  • Math: ABS, CEILING, EXP, FLOOR, INT, LN, LOG, LOG10, MOD, PI, POWER, PRODUCT, RAND, RANDBETWEEN, ROUND, ROUNDDOWN, ROUNDUP, SIGN, SQRT, SUM, SUMIF, SUMIFS, SUMPRODUCT, TRUNC.
  • Statistics: AVERAGE, AVERAGEIF, AVERAGEIFS, COUNT, COUNTA, COUNTBLANK, COUNTIF, COUNTIFS, LARGE, MAX, MAXIFS, MEDIAN, MIN, MINIFS, SMALL.
  • Logic: AND, CHOOSE, FALSE, IF, IFERROR, IFNA, IFS, NOT, OR, SWITCH, TRUE, XOR.
  • Text: CHAR, CODE, CONCAT, CONCATENATE, EXACT, FIND, LEFT, LEN, LOWER, MID, PROPER, REPLACE, REPT, RIGHT, SEARCH, SUBSTITUTE, T, TEXT, TEXTJOIN, TRIM, UPPER, VALUE.
  • Date and time: DATE, DATEDIF, DAY, DAYS, EDATE, EOMONTH, HOUR, MINUTE, MONTH, NOW, SECOND, TODAY, WEEKDAY, YEAR.
  • Lookup: COLUMN, COLUMNS, HLOOKUP, INDEX, MATCH, ROW, ROWS, VLOOKUP, XLOOKUP.
  • Information: ISBLANK, ISERR, ISERROR, ISEVEN, ISLOGICAL, ISNA, ISNUMBER, ISODD, ISTEXT, N, NA.

Criteria in SUMIF, COUNTIF and the like work as in Excel: 5, ">5", "<>done", "app*" (wildcards * and ?, ~ to escape them), "" for empty cells. VLOOKUP and HLOOKUP are approximate unless the last argument is FALSE; MATCH needs 0 for an exact match; XLOOKUP takes an "if not found" value (4th argument), a match mode (5th: 0 exact, -1 for exact or the next smaller value, 2 for wildcards) and a search mode (6th: -1 searches from the end). XLOOKUP's match mode -1 needs the list sorted smallest first; match mode 1 (exact or the next larger value) does not work as in Excel (it returns the last value in the list that is not smaller), so do not use it. DATEDIF takes "Y", "M", "D", "YM", "MD" and "YD". Dates are Excel's day numbers (the same numbers Excel uses from March 1900 on).

The fx list and the help while typing describe 85 functions: most of the ones above (not CHAR, CODE, COLUMNS, CONCATENATE, EXACT, EXP, FALSE, HOUR, ISERR, ISEVEN, ISLOGICAL, ISNA, ISODD, LN, LOG, LOG10, MINUTE, N, NA, REPLACE, ROWS, SECOND, SIGN, T, TRUE, TRUNC and XOR, which work but are not suggested) plus NETWORKDAYS, PMT, FV, STDEV and RANK from formula.js.

Excel functions Spreadsheets calculates through formula.js

Their results are formula.js's, which mostly follow Excel's; for figures that matter (tax, statistics), compare with Excel once. DEC2HEX, BIN2HEX and OCT2HEX write the letters in lower case (ff, not FF), and ISO.CEILING needs its second argument (ISO.CEILING(4.2,1)). Functions in this list that return several values (SORT, TRANSPOSE, VSTACK, HSTACK, TAKE, DROP, EXPAND, CHOOSECOLS, CHOOSEROWS, MMULT, MUNIT, FREQUENCY, LINEST, LOGEST, TREND, GROWTH, MODE.MULT) show only their first value.

These formula.js names calculate in Spreadsheets but give results that differ from Excel's, so do not rely on them:

  • CHIDIST, CHIINV, FDIST, FINV, TINV, NORMSDIST, LOGNORMDIST and T.DIST follow other rules than Excel's. Use 1-CHISQ.DIST(x,df,TRUE) for CHIDIST, CHISQ.INV(1-p,df) for CHIINV, F.DIST.RT for FDIST, F.INV.RT for FINV, T.INV(1-p/2,df) for TINV, NORM.S.DIST(z,TRUE) for NORMSDIST, LOGNORM.DIST(x,mean,sd,TRUE) for LOGNORMDIST and 1-T.DIST.RT(x,df) for T.DIST(x,df,TRUE). BETADIST gives #VALUE!: use BETA.DIST(x,alpha,beta,TRUE).
  • CHISQ.DIST.RT, CHISQ.INV.RT, T.DIST.2T, T.INV.2T and BINOM.DIST.RANGE are worked out as CHISQ.DIST, CHISQ.INV, T.DIST, T.INV and BINOM.DIST, so their results are wrong (use the replacements above; TDIST(x,df,2) gives T.DIST.2T).
  • F.TEST and FTEST, T.TEST and TTEST, and TBILLYIELD return other numbers than Excel.
  • WORKDAY, WORKDAY.INTL and DATEVALUE (for a date not written like 2026-10-08) can come out a day early or with a fraction of a day, depending on the PC's time zone; TIMEVALUE("14:30") gives #VALUE!. Type dates instead, or use DATE and EDATE, which Spreadsheets calculates itself.
  • The database functions (DSUM, DAVERAGE, DCOUNT, DCOUNTA, DGET, DMAX, DMIN, DPRODUCT, DSTDEV, DSTDEVP, DVAR, DVARP) do not read a sheet's table: use SUMIFS, AVERAGEIFS, COUNTIFS, MAXIFS and MINIFS instead.
  • UNIQUE shows 0, ERROR.TYPE shows #N/A, SERIESSUM shows #VALUE! and ACCRINT shows 0.

Excel functions Spreadsheets does not have

Any function that is in neither list shows #NAME?. Among Excel's, these are not available: FILTER, SORTBY, SEQUENCE, RANDARRAY, XMATCH, LET, LAMBDA and the functions that use it (MAP, REDUCE, SCAN, BYROW, MAKEARRAY), TEXTBEFORE, TEXTAFTER, TEXTSPLIT, TOROW, TOCOL, WRAPROWS, WRAPCOLS, VALUETOTEXT, ARRAYTOTEXT, REGEXTEST, REGEXEXTRACT, GROUPBY, PIVOTBY, INDIRECT, OFFSET, ADDRESS, AREAS, ISREF, CELL, INFO, SHEET, SHEETS, ISFORMULA, FORMULATEXT, HYPERLINK, IMAGE, GETPIVOTDATA, ENCODEURL, STOCKHISTORY, TRANSLATE, DETECTLANGUAGE, MODE, CONFIDENCE, POISSON, WEIBULL and FORECAST.LINEAR (use MODE.SNGL, CONFIDENCE.NORM, POISSON.DIST, WEIBULL.DIST and FORECAST instead). Named ranges, Excel table references (Table1[Amount]), array constants ({1,2,3}), links to other workbooks ([Book2.xlsx]Sheet1!A1) and R1C1 references are not understood either: such formulas in an opened workbook show #NAME?, and typed ones show #NAME? or are refused with a message such as "SUM( is not closed.".

Formula errors in Spreadsheets

A cell shows the error in red; pointing at it shows its explanation:

Saving in Spreadsheets: Save, Save as and a CSV copy

  • Save (Ctrl+S) saves the workbook as .xlsx. A workbook that came from an .xlsx is saved over it. A new workbook, a template, a dropped file and a CSV, TSV or text file are saved as a new .xlsx: Windows' Save dialog asks where (a CSV called data.csv is offered as data.xlsx; the CSV itself is not changed).
  • The arrow next to Save ("More ways to save") has Save as Excel workbook… (Ctrl+Shift+S: a new .xlsx; the workbook continues in the new file), Save as PDF… (Ctrl+P), Save a copy as CSV, this sheet (.csv)… and Show in folder (once the workbook has a file).
  • After a save a message says "Saved <name>" or "Saved a copy as <name>". A save is written to a temporary file first and then put in place of the old one. Saved files, CSV and PDF copies included, join the Recent list.
  • An .xlsx that lost something when it was opened (charts, merged cells and the like) asks "Replace the original <name>?" before Save writes over it: Replace the original or Save as a new file.
  • Open (Ctrl+O), the back arrow ("Back to the start"), and New spreadsheet or Close the spreadsheet in the command search ask "Save your changes to <name>?" ("Your changes are lost if you don't save them.") with Cancel, Don't save and Save when there are unsaved changes.

Save as PDF and printing in Spreadsheets

Save as PDF… (Ctrl+P) makes a PDF of the sheet you are on and asks for a name and a folder. There is no printer dialog and nothing to set:

  • The paper is Letter when Windows' language is US or Canadian English, A4 otherwise, with half-inch margins. A sheet that uses more than six columns is laid out sideways (landscape).
  • The PDF starts with the sheet's name as a heading, then every cell from A1 to the last used row and column, as the grid shows it: formula results, number formats, bold, italic, underline, text and fill colors, text sizes, borders and wrapped text. Light grey lines are drawn around every cell. Strikethrough is not printed.
  • Columns are as wide as their content (the widths set in the grid are not used) and the text is 10 pt. There is no fit-to-page setting: on a sheet much wider than the page, the columns on the right can be cut off. Long sheets continue on more pages; the header row is not repeated.
  • Other sheets are not in the PDF. To make a PDF of every sheet at once, use Converters' spreadsheet conversion (Converters).

There is no Print button for a paper printer: save a PDF and print it from a PDF reader. The PDF is made by Octoolo itself with WebView2's built-in PDF printer; Windows' Save dialog suggests "<name>.pdf", and the message "Saved a copy as <name>.pdf" follows. If it fails, the message starts with "The PDF could not be made:"; after five minutes it gives up with "The page took too long to print."

A CSV, TSV or .txt file opens as a new workbook named like the file with .xlsx at the end; the file itself is only read. The Open a file dialog lists only .xlsx, .csv, .tsv and .txt files. Octoolo sets no size limit, but every change recalculates the whole workbook, so the bigger the workbook, the longer each change takes.

What Spreadsheets keeps and loses when it opens an Excel workbook

Kept:

  • Every sheet, with its name and order, and the sheet that was open when the file was saved. Hidden sheets show as ordinary tabs.
  • Values: numbers, text, TRUE/FALSE and dates (shown with their format, or as yyyy-mm-dd). Text that looks like a number (an ID with leading zeros) stays text.
  • Formulas, recalculated by Octoolo (the "_xlfn." prefix Excel adds to newer functions is removed).
  • Number formats, including Excel's custom codes (see "Number formats in Spreadsheets").
  • Bold, italic, underline, strikethrough, text color, text size, solid fill colors (theme colors are read with Office's default theme), left, center and right alignment, and wrapped text.
  • Borders, as a thin border on all four sides of a cell that had any border.
  • Column widths, and frozen top rows.

Named in a message as the workbook opens ("Octoolo could not keep this workbook's ..."), and asked about before saving over the original (for a workbook opened with Open a file or from Recent):

  • charts
  • pivot tables
  • pictures
  • comments and notes (both named "comments")
  • merged cells ("merged cells (they are shown unmerged)": the content stays in the top-left cell)
  • conditional formatting

Changed without a message:

  • Fonts: cells show in Segoe UI and are saved in Calibri; font names are not kept.
  • Row heights, hidden rows and hidden columns (they are shown), frozen columns, vertical alignment, indents and text rotation.
  • Filters (AutoFilter), drop-down lists and other data validation, Excel tables (the data stays), named ranges (formulas using them show #NAME?), hyperlinks (the text stays), several formats inside one cell (one format per cell), gradient and pattern fills, border styles and colors.
  • Sheet and workbook protection, print settings (print area, page setup, headers and footers), macros, sparklines, slicers and links to other workbooks.
  • Error values typed in cells (such as #N/A) come in as text.

Workbooks that cannot be read at all, including password-protected (encrypted) ones, give "Octoolo could not read this workbook. If it is an older .xls file, save it as .xlsx in Excel first." Remove the password in Excel, or save the file again as .xlsx.

What Excel sees in an .xlsx saved by Spreadsheets

An .xlsx saved by Spreadsheets is a standard Excel workbook for Excel and other programs that open .xlsx. It has every sheet (names made valid for Excel: up to 31 characters, no [ ] : * ? / \, no two alike), the open sheet as the active one, values, formulas with their latest results stored beside them (so Excel shows the right numbers at once; a circular formula's result is stored as 0), Excel's newer functions written with the "_xlfn." prefix Excel expects, number formats, bold, italic, underline, strikethrough, text color and size in Calibri, solid fills, alignment and wrapped text (wrapped cells aligned to the top), thin grey borders, column widths and frozen top rows.

CSV files in Spreadsheets

Opening a CSV, TSV or .txt file:

  • Separator: whichever of tab, semicolon and comma splits the first line into the most columns (comma when it does not split the line more than the others). A title line without separators above the headers hides a semicolon or tab separator: such a file then opens with each line in one column.
  • Quotes: a field in double quotes can hold separators, line breaks and doubled quotes ("").
  • Encoding: the file is read as UTF-8 (a byte order mark at the start is ignored). A CSV saved in an older Windows (ANSI) encoding or as UTF-16 ("Unicode Text") shows wrong characters, such as � for é.
  • Values are read as if typed (see "Typing in cells in Spreadsheets"): numbers, percentages, money and dates become values with a format, in the Windows display language's way of writing numbers and dates. As in Excel, leading zeros are dropped (02134 becomes 2134), numbers of more than about 15 digits lose their last digits and long numbers show in scientific notation, and codes that look like dates (1-2-23) become dates.
  • A field that starts with = stays text: a formula in a CSV never runs.
  • Everything goes on one sheet named "Sheet1"; empty fields stay empty cells.

Saving a copy as CSV (Save a copy as CSV, this sheet (.csv)…):

  • Only the sheet you are on, from A1 to the last used row and column. Empty rows after the data are not written.
  • Formula results, not formulas.
  • Numbers with a number format are written as the cell shows them, such as $1,234.50, 20% or a date as 2026-10-08 (put in double quotes when they contain a comma). Numbers with the automatic format are written plainly with a dot for decimals (1234.5).
  • TRUE and FALSE, error values as their codes (#DIV/0!), text as typed (without a leading apostrophe). Fields with a comma, a double quote or a line break are put in double quotes.
  • Commas between fields always (no semicolon option), Windows line endings, UTF-8 with a byte order mark, so Excel shows accents correctly. A tool that does not expect the mark may show  before the first header; tell it the file is UTF-8.
  • The workbook itself is not changed.

To convert many CSV or Excel files at once (CSV ↔ Excel, TSV), use Converters (Converters).

The command search in Spreadsheets

What do you want to do? in the title bar (or Ctrl+/, Alt+Q or F1) searches every command: for example AutoSum (add up the numbers above), Average of the numbers above, Count the numbers above, Sort A to Z (smallest first), Sort Z to A (largest first), Freeze the top row, Freeze the rows above the selected cell, Unfreeze rows, Insert a row above, Delete the selected rows, Wrap text, Borders around the cells, Format as currency ($) and the other formats, Add a sheet, Clear contents, Clear contents and formats, and the file commands (Save, Save as (Excel workbook), Save as PDF, Save a copy as CSV, this sheet (.csv), Open a file, New spreadsheet, Close the spreadsheet). The grid's keys (moving, Ctrl+A, Ctrl+D, Ctrl+B and so on) work when the grid has the focus, not while the Find box or the name box is in use.

Where Spreadsheets keeps things

  • Your workbooks: only where you save them.
  • Recent files: one list shared by Documents, Spreadsheets, Presentations and Octoolo's other editors that have one (the Photo Editor, the Vector Editor, Text Studio), in %LOCALAPPDATA%\com.octoolo.app\recent-files.json, up to 30 files in all, PDF and CSV copies included (each app shows only its own file types, so busy use of the other apps can push older workbooks off the list). It stores paths and names, not the files.
  • Drafts: the unsaved state of the open workbook, in the storage of Octoolo's window (WebView2), in the EBWebView folder of %LOCALAPPDATA%\com.octoolo.app. One draft for Spreadsheets at a time.
  • PDFs being made: a few seconds in %LOCALAPPDATA%\com.octoolo.app\print, then deleted.
  • While saving: a hidden temporary file .<file name>.octoolo-saving next to the file, renamed over the file when the save is complete.
  • Uninstalling Octoolo keeps the recent list and drafts unless "Delete the application data" is ticked in the uninstaller. Saved workbooks are never touched.

Drafts and recovery in Spreadsheets

Spreadsheets does not save the file by itself: the .xlsx changes only when you press Save. Two seconds after a change it keeps a draft of the open workbook on the PC. After a crash, a restart or leaving without saving, the start screen shows Continue where you left off with the file's name, when it changed and "not saved"; Continue opens it with the changes, then press Save. Discard throws it away.

  • The draft is deleted when you save, choose Don't save, or leave a workbook with no unsaved changes. Only one draft is kept; changes from the last two seconds before a crash may be missing.
  • The draft is not opened by itself: it waits under Continue where you left off until you press Continue or Discard.
  • Opening or starting another workbook replaces the draft as soon as that workbook is changed. Going back to the start from a workbook with no unsaved changes deletes the draft too, even a draft of another workbook: continue a draft before opening other files.
  • A workbook continued from a draft is saved over its file without the "Replace the original" question, even if Spreadsheets could not keep everything in it (charts, merged cells and the like). Use Save as Excel workbook… to keep the original.
  • Leaving Spreadsheets other than with its back arrow (the Help and feedback button, Ctrl+, for Settings) does not ask "Save your changes?", but the draft is kept.
  • There is no version history.

Downloads it needs

None. Spreadsheets is part of the app and needs no extra download.

Privacy

Spreadsheets works on the PC. Workbooks, their names and their contents never leave the computer. If "Send anonymous usage statistics" is on in Settings, Octoolo notes that Spreadsheets was opened, for how long, that a file was saved, and error messages with file names and paths taken out, never the file or its contents. See Privacy and data.

Troubleshooting

"Octoolo could not read this workbook. If it is an older .xls file, save it as .xlsx in Excel first."

The file is not a readable .xlsx: an old .xls renamed to .xlsx, a password-protected (encrypted) workbook, a damaged file, or another format. Open it in Excel (or the program that made it), remove the password if there is one, and save it as Excel Workbook (.xlsx). Dropping an .xls file on the start screen gives "Older .xls files need to be saved as .xlsx in Excel first."

"Octoolo could not keep this workbook's ..." when a workbook opens

The workbook has charts, pivot tables, pictures, comments, merged cells or conditional formatting, which Spreadsheets cannot show or keep. The data is all there. When saving, choose Save as a new file to keep the original whole, or Replace the original if those parts are no longer needed. The question comes only for a workbook opened with Open a file or from Recent, not for one continued from a draft: there, use Save as Excel workbook… to keep the original.

A formula shows #NAME?

The function name is misspelled, is not in English, or is one Spreadsheets does not have (see "Excel functions Spreadsheets does not have"), or the formula uses a named range, a table reference or text without quotes. Fix the name, put text in "double quotes", or replace the name with cell references.

A formula shows #CYCLE!

The formula refers to its own cell, directly or through other cells. Change the references so no cell depends on itself.

My CSV opened in one column

Spreadsheets picks the separator (comma, semicolon or tab) from the first line only. When the file uses semicolons or tabs and its first line is a title without them, each line opens in one column. Delete that line in Notepad and open the file again.

Accented letters look wrong after opening a CSV

The CSV is not UTF-8. Open it in Notepad, choose File > Save as, set Encoding to UTF-8, save and open it again.

Leading zeros disappeared (ZIP codes, IDs)

Numbers are read as numbers, as in Excel. Type such values with an apostrophe in front ('02134) and they stay text. Choosing the Text format does not keep zeros you type afterwards; the apostrophe does.

The CSV I saved has currency signs or percentages in it

Numbers with a number format go into the CSV as the cell shows them ($1,234.50, 20%). For plain numbers, set those cells to Automatic in the number format menu, save the CSV copy, then press Undo (Ctrl+Z) to bring the formats back in the workbook. Leave date cells as they are: with Automatic a date is written as Excel's day number (such as 46303).

Saving fails: "is open in another program" or "is read-only"

  • "<name> is open in another program. Close it there, or use Save as." Excel keeps the file locked while it is open. Close it in Excel, or use Save as Excel workbook….
  • "<name> is read-only. Turn that off in its Properties, or use Save as." Untick Read-only in the file's Properties, or save under another name.
  • "Could not save <path>: ..." Windows refused (no permission, disk full, network drive gone): save somewhere else with Save as Excel workbook….
  • "Use Save as to choose where to save." Octoolo may only write over files chosen in its Open or Save dialogs or kept in the recent list; this file is no longer among them (for example it was removed from Recent). Use Save as Excel workbook….

What I was typing in a cell is missing from the saved file

The entry was still being typed when the file was saved. Press Enter to finish the cell, then save again.

A recent file does not open: "That file is no longer there: it was moved or deleted."

The file was moved, renamed or deleted, and Spreadsheets takes it off the list. Open it from its new place with Open a file. If the message is "Open that file with the Open button first.", do the same.

The PDF cuts off columns on the right

Spreadsheets' PDF has no fit-to-page setting, and each column is as wide as its longest content (column widths set in the grid are not used). Sheets with more than six used columns already go landscape. For wider sheets, move some columns to another sheet, or turn on Wrap text for cells with long text so they can break into lines.

The right-click menu deleted or fitted the wrong column or row

In Spreadsheets, right-clicking a column letter or a row number does not select it: Delete this column, Delete this row and Fit the width to the content act on the column or row of the cells already selected. Press Undo (Ctrl+Z), click the letter or number first, then right-click it.

A function gives a different result than in Excel

A few functions Spreadsheets takes from formula.js work by other rules than Excel's (CHIDIST, FDIST, TINV, NORMSDIST, T.TEST, WORKDAY and others) or do not work (DSUM and the other database functions, UNIQUE). "Excel functions Spreadsheets calculates through formula.js" lists them with what to use instead.

I closed Octoolo without saving

Open Spreadsheets again and press Continue under Continue where you left off, then Save. Without that line, the changes cannot be recovered.

Limits and what Spreadsheets cannot do

  • It cannot open .xls, .xlsm, .xlsb, .ods or .numbers files, or password-protected workbooks.
  • It has no charts, pivot tables, conditional formatting, merged cells, pictures, comments, data validation (drop-down lists), filters, named ranges, Excel tables, hyperlinks or macros.
  • It cannot choose fonts or font sizes for cells, hide rows or columns, set row heights, freeze columns, or choose border sides and styles.
  • It has no Replace for a single cell, no find across sheets and no F4 to add $ signs.
  • No dynamic arrays: functions that return several values show the first; FILTER, SORTBY, SEQUENCE, XMATCH, LET, LAMBDA, INDIRECT and OFFSET are not available.
  • It cannot print to a paper printer directly, set a print area or fit a sheet to the page; PDFs cover one sheet at a time.
  • It sorts by one column at a time (no multi-level or custom sort).
  • It cannot connect to databases, web data or other workbooks, and has no automatic invoice numbering.
  • No collaboration: one person edits a file on one PC; no sharing, live co-editing, cloud storage or sync. Octoolo Cloud is the subscription's name, not online storage.
  • No version history; only the last unsaved draft is kept. One workbook open at a time.
