Billing: plans, free trial, payments, invoices, cancelling and refunds

Octoolo Cloud's plans and prices, the free week, paying, invoices, taxes, cancelling and refunds.

How Octoolo Cloud, the subscription, is sold, charged and cancelled. How the subscription turns the apps on, license keys, PCs and the octoolo.com account are in License and account. The numbers (prices, trial days, free apps, number of PCs) are in Prices and limits.

Octoolo Cloud in short

Octoolo Cloud is the subscription that opens every Octoolo app. It is sold by Getiket Technologies through Paddle (paddle.com), Octoolo's online reseller and Merchant of Record: Paddle shows the checkout, takes the payment, handles sales tax and VAT, sends the receipts and makes the invoices. Octoolo never sees card details.

  • Three plans, which differ only in how often you pay: Monthly, Every 3 months and Yearly. Every plan has every app and every update. Prices: Prices and limits.
  • Every plan starts with a 7-day free trial (the app calls it the free week). A payment method is given at the start; nothing is charged for 7 days.
  • Calculator, Text Studio and Productivity are free without a subscription.
  • One subscription turns Octoolo Cloud on on up to 3 PCs at a time.
  • It renews by itself at the end of each period until it is cancelled.

Plans and prices

Octoolo Cloud has three plans. The apps and features are the same in all three; only the billing period changes. The current prices are in Prices and limits; in version 0.8.0 they are:

  • Prices are in US dollars, before tax where tax is added (see "Taxes: VAT and sales tax").
  • The website sums it up as "from $3.99 a month"; the app's sidebar shows "7 days free, then from $3.99 a month" on a PC without the subscription.
  • Each plan is charged in advance for its period and renews on its own until cancelled.
  • There is no one-time purchase, lifetime license or free plan of Octoolo Cloud: only these three subscriptions. The free apps are Calculator, Text Studio and Productivity.
  • There are no team, family or multi-seat plans: one subscription is one person's, on up to 3 of their PCs. The terms do not allow selling, renting or sharing a subscription.
  • Octoolo's website and app have no coupon or discount-code field of their own, and support has no codes to give. The lower prices a month are the Every 3 months (10% less) and Yearly (20% less) plans.

Which Octoolo apps are free

Calculator, Text Studio and Productivity work without a subscription, for as long as you like, and need no account. Every other app (Video Editor, Photo Editor, Vector Editor, PDF Editor, Audio Editor, Media Player, Documents, Spreadsheets, Presentations, Converters, Passwords, Downloads, Files and Dev Toolbox) needs Octoolo Cloud or its free trial. On the home screen, the free apps carry a Free label while Octoolo Cloud is off on the PC. The list is in Prices and limits.

The free trial (the free week)

Every Octoolo Cloud plan starts with a 7-day free trial, which the app calls the free week.

  • A payment method is needed to start it. The person picks a plan and gives a payment method in Paddle's checkout; Paddle takes nothing that day. The checkout's order summary shows "7-day free trial" and Due today with a total of zero.
  • The first payment is the plan's price (plus tax where it applies), taken by Paddle when the 7 days end. The order summary says when: "Then $47.90 every year, from 17 October 2026, ..." (the plan's price and the date the trial ends). The account page shows it too: "Your first payment of $47.90 is on ..., unless you cancel before."
  • Every app is open during the trial, on up to 3 PCs, exactly as with a paid plan.
  • Cancel before the trial ends and nothing is ever charged. The paywall in the app says "Cancel before day 8 and you pay nothing."
  • The app's sidebar counts down: "Free week, 5 days left", then "Free week, last day".
  • The trial is the same length on every plan (facts: Prices and limits).

Whether someone who had a subscription before gets the free week again is decided by Paddle's checkout, not by support: the order summary shows the "7-day free trial" line and Due today when a trial applies, and Total with the full amount when it does not. Support cannot promise a second free week.

Cancelling during the free trial

Cancelling Octoolo Cloud during the free week means nothing is ever charged.

  1. Open the account at https://octoolo.com/account/ (in Octoolo: Settings, Your plan, Manage billing opens it signed in).
  2. Go to Subscription and choose Cancel subscription.
  3. The page says "If you cancel now, nothing is charged, and Octoolo Cloud stays on until your free week ends on ... Paddle, our payment provider, asks you to confirm." Choose Continue to cancel and confirm on Paddle's page.

After that, every app stays open until the end of the 7 days, then the paid apps close and the free apps stay. The account shows "Your free week ends on ... You cancelled, so nothing will be charged."; the app's sidebar shows "Free week, ends ..." and Settings shows "ends ..., then the subscription stops". The link in Paddle's emails and writing to hello@octoolo.com work too.

Buying Octoolo Cloud from inside the app

The quickest way: the app turns itself on after the checkout, with no key to type.

  1. Open any app that needs Octoolo Cloud and choose Start your free week (also in the home screen's sidebar and in Settings, Your plan). After a subscription has ended the button says Subscribe.
  2. The browser opens octoolo.com's checkout, with Paddle's form in the app's language. Pick the plan (Yearly is picked to start with), enter the email and payment details in Paddle's form and finish.
  3. Back in Octoolo, the app shows "Finish in your browser" while it waits, and turns on by itself a few seconds after Paddle confirms the order. The license key also arrives by email.

The email typed in the checkout becomes the octoolo.com account's email and gets the receipts and the license key. Details of the waiting and what to do if the app does not turn on: License and account.

Buying Octoolo Cloud on octoolo.com

  1. Open https://octoolo.com/pricing/ (or the plans on the home page) and choose Start your 7-day free trial under the plan you want.
  2. The checkout page (https://octoolo.com/checkout/) opens with that plan picked. Fill in Paddle's form under 2. Your details and payment and finish.
  3. The thank-you page says the trial has started (or the subscription is active) and, when the order made a new octoolo.com account, signs the browser in to it.
  4. Download Octoolo for Windows if it is not installed, then turn Octoolo Cloud on with the license key from the email: in Octoolo, Settings, Your plan, Enter a license key, or I have a license key on any locked app.

Buying from the website does not turn on a copy of Octoolo by itself: the app needs the license key once (see License and account). Buying from the account page (Start your free week or Subscribe again there) fills in the account's email in the checkout, so the subscription lands on that account.

The checkout page

octoolo.com's checkout (https://octoolo.com/checkout/) shows Paddle's checkout inside the page, next to the plans and an order summary. It is in English; Paddle's form follows the language the app or the translated site asked for, or the browser's.

  • Title "Try Octoolo free for 7 days" and "Nothing is charged today. Cancel any time in the 7 days and you pay nothing."
  • 1. Your plan: the three plans (Monthly, Every 3 months with "Save 10%", Yearly with "Save 20%"). Yearly is picked unless the link named another. Picking another plan updates Paddle's form.
  • Order summary: the plan and how often it is billed, "7-day free trial", Subtotal, Tax ("Worked out from your country" until Paddle's form has loaded), Due today (or Total), and what comes next ("Then ... every year (... tax included), from ..., until you cancel."). Once Paddle answers, every figure is Paddle's own, in the currency Paddle charges.
  • 2. Your details and payment: Paddle's form (email, country, payment), with Paddle's own footer.
  • Small print: "Cancel any time from your account. Refund policy · Terms. Paddle.com is our reseller and Merchant of Record."

Messages the checkout can show:

When a link from Paddle (for example in a Paddle email, to pay an open bill) opens the checkout with a payment already set up, the plan list is hidden: the page only shows that payment.

After paying: the thank-you page

After the checkout, the browser goes to https://octoolo.com/thanks/. It first says "Your order is being confirmed. This page updates by itself." and asks octoolo.com about the order for about a minute.

  • With a trial: "Your free trial has started, until ... Cancel before then and you pay nothing."
  • Without one: "Your yearly Octoolo Cloud subscription is active. Thank you!" (or monthly, or every-3-months).
  • "Paddle sends your receipt to jo*@g*.com, and we send what you need to sign in to Octoolo there too." The address is shown partly hidden on purpose.
  • When the order made a new account: "You are signed in to your account on octoolo.com: your plan, your licence key and your computers are there."
  • When the email already had an account: "You already had an account with this email: sign in to it with a code we email you."
  • If Paddle has not confirmed within that minute: "Thank you. Your order is still being confirmed; your receipt comes by email as soon as it is." Nothing is wrong: the receipt and the license key email follow when Paddle confirms.

The page lists the next steps: Download for Windows, check the email, and Open your account. It signs in only the browser tab that went through the checkout, and only when the order made a new account; in any other case (another tab or browser, or an account that existed before), sign in at https://octoolo.com/account/ with an emailed code.

Paddle, Octoolo's merchant of record

Octoolo Cloud is sold through Paddle.com, Octoolo's online reseller and Merchant of Record. This means:

  • Paddle takes the payment. The charge on a card or bank statement is in Paddle's name, not Octoolo's or Getiket Technologies'. The exact words on the statement are set by Paddle.
  • Paddle sends the receipts by email, to the address used at checkout, and makes the invoices.
  • Paddle handles tax: it works out and pays the sales tax or VAT for the buyer's country.
  • Paddle's buyer terms (https://www.paddle.com/legal/checkout-buyer-terms) apply to the purchase as well as Octoolo's terms (https://octoolo.com/terms/).
  • Paddle helps with payment questions together with Octoolo. The refund policy says people can also ask Paddle directly at https://paddle.net.
  • Paddle collects the name, email, country and payment details at checkout, under Paddle's own privacy policy. Octoolo receives the name, email, country and the state of the subscription and payments, never the card details.

Payment methods

The payment methods are the ones Paddle's checkout offers in the buyer's country. The website names cards and PayPal as examples ("With the payment methods Paddle's checkout offers in your country, such as cards and PayPal."). Octoolo's own pages add or remove none: what the checkout shows is what is available. A payment method is needed even for the free trial.

Currency

Octoolo Cloud's prices are set in US dollars. The checkout's order summary shows the exact amount and currency Paddle will charge, with tax, before anything is paid; the account's Payments and invoices list shows each payment in the currency it was charged in.

Taxes: VAT and sales tax

Tax depends on where the buyer lives, and Paddle works it out from the country given in the checkout. As octoolo.com says: in the EU, the UK and many other countries, VAT is included in the price; in the US, sales tax is added at checkout. The total is always shown before paying. So the amount charged can differ from the list price in US dollars. Paddle, as merchant of record, charges and pays the tax.

Buying for a business, VAT numbers and company invoices

  • Octoolo's own pages do not ask for a company name or a VAT or tax number. Anything like that is part of Paddle's checkout or Paddle's pages, so what is offered there is Paddle's.
  • The terms allow using Octoolo "for personal or business purposes, on computers you own or control". There is no multi-seat or company plan: each person needs their own subscription.
  • Invoices are made by Paddle (see "Receipts and invoices"). For a question about what an invoice shows, the buyer can ask Paddle at https://paddle.net or write to hello@octoolo.com.

Receipts and invoices

  • Receipts: Paddle emails a receipt for each payment to the email used at checkout (the account's email; it follows when the account's email is changed).
  • Invoices in the account: sign in at https://octoolo.com/account/, open Subscription, then Payments and invoices. It lists the payments, newest first: the plan, the amount with its currency, and the date. Invoice (PDF) opens Paddle's invoice for that payment in a new tab. The start of a free week shows as "Free week started" and has no invoice, because nothing was charged.
  • With no payment yet, the list says "No payments yet."
  • After the subscription ended, Billing history at Paddle opens Paddle's page with the history.

Updating the card or payment method

  1. Sign in at https://octoolo.com/account/ (in Octoolo: Settings, Your plan, Manage billing opens it signed in).
  2. Open Subscription and choose Update payment method. Paddle's page opens, signed in, to change the card or other payment method.

When a payment has failed, the account's overview also has Update your card, and the app's sidebar has Update your card (it opens the account's Subscription tab signed in). The link in Paddle's receipt email works too. Octoolo never asks for card details by email or in the app.

Changing plan

Octoolo's account page has no button of its own to switch between Monthly, Every 3 months and Yearly. The octoolo.com pricing page and terms say a plan can be changed from the account, from the link in the receipt email, or by writing to hello@octoolo.com, and that the new plan applies from the next payment.

  • Open Subscription, All billing details: it opens Paddle's page for the subscription, which shows what Paddle allows there.
  • Otherwise, write to hello@octoolo.com from the account's email, saying which plan you want; the team makes the change.

Every plan has the same apps, so a plan change changes only the price and how often it is charged.

Cancelling Octoolo Cloud

Octoolo Cloud can be cancelled at any time.

  1. Sign in at https://octoolo.com/account/ (in Octoolo: Settings, Your plan, Manage billing opens it signed in, on Subscription).
  2. Open Subscription and choose Cancel subscription.
  3. The page explains what happens, for example "If you cancel, you keep Octoolo Cloud until ... and are not charged again. Paddle, our payment provider, asks you to confirm." Choose Continue to cancel; Paddle's page opens to confirm. Keep my subscription closes the box without cancelling.

Other ways: the link in Paddle's receipt email, or writing to hello@octoolo.com. Uninstalling Octoolo, removing a PC or deleting the app does not cancel the subscription. Deleting the octoolo.com account is only possible after cancelling, and it turns Octoolo Cloud off on every PC at their next check, even when paid time is left: to keep the paid time, delete the account only after the end date (see License and account).

What happens after cancelling Octoolo Cloud

  • Nothing more is charged.
  • Every app keeps working until the end of the period already paid for (or until the free week ends). The account shows the Cancelled label and "You cancelled. Octoolo Cloud stays on until ..., and nothing more is charged."; the app's sidebar shows "Ends ..." and Settings, Your plan shows Ends with the date. (A free week cancelled early keeps the Free week label; see "Cancelling during the free trial".)
  • On that date the paid apps close on every PC; the app shows "Your Octoolo Cloud has ended" and "Subscribe again to open ... and every other app. Your files are where you left them."
  • Calculator, Text Studio and Productivity stay open. Files on the PC are not touched.
  • Data kept inside a paid app, such as the Passwords vault, stays on the PC but opens only in that app. To keep using it without a subscription, export it while the subscription runs (for passwords: Passwords).
  • The license key and the PCs stay on the account: "Subscribe again any time: your key and PCs are kept."

Changing your mind after cancelling

While a cancelled Octoolo Cloud subscription is still running, the account's Subscription tab shows Keep my subscription instead of Cancel subscription. It opens Paddle's page for the subscription. If that page does not offer to keep it, write to hello@octoolo.com before the end date. After the end date, subscribe again instead (see "Subscribing again after Octoolo Cloud ended").

Subscribing again after Octoolo Cloud ended

  • In Octoolo: Subscribe on any locked app, in the home screen's sidebar or in Settings, Your plan. The checkout opens; after paying, the app turns on by itself.
  • On octoolo.com: the account's Subscribe again opens the checkout with the account's email filled in.

With the same email as before, the subscription joins the same account: the same license key and the same PCs work again (a PC still listed in the account reopens the apps at its next check, about 20 seconds after Octoolo starts, or every 6 hours while it runs). With a different email, Paddle and octoolo.com treat it as a new customer, with a new account and a new license key.

Failed payments: "Payment failed: update your card"

When Paddle cannot take a renewal payment (an expired card, not enough funds, a declined payment), the subscription becomes past due and Paddle tries again.

  • Octoolo keeps working while Paddle retries. The app's sidebar shows "Payment failed: update your card" with Update your card; Settings, Your plan says "Your last payment did not go through. Octoolo keeps working while Paddle tries again; update your card so it does not stop."; the account shows Payment failed and the same advice.
  • Fix it by updating the payment method (see "Updating the card or payment method"), so Paddle can take the payment.
  • If Paddle stops retrying without a payment, Paddle stops the subscription and the paid apps close at Octoolo's next check with octoolo.com ("Your Octoolo Cloud has ended"). Subscribe again to reopen them.

Octoolo learns about the failed payment, the retries and their result from Paddle, and the app checks with octoolo.com a little after it starts and every few hours, so what the app shows follows Paddle within a few hours while the PC is online.

The refund policy

Octoolo's refund policy (https://octoolo.com/refunds/):

  • The free trial: nothing is charged during the 7 days, so there is nothing to refund. Cancel before it ends and you are never charged.
  • First payment: 30 days. Every new subscription has a 30-day money-back guarantee: ask within 30 days of the first payment and all of it is refunded, no questions asked.
  • Renewals: 14 days. If a renewal charged you when you meant to cancel, on any plan, ask within 14 days of that charge and it is refunded.
  • Your legal rights (such as the right to withdraw from a purchase in the EU and the UK) come on top of this policy; it does not limit them.
  • If Octoolo is ever discontinued, the unused part of any month already paid for is refunded (terms, section 10).

Refunds are decided and made by a person on the Octoolo team (through Paddle).

How to ask for a refund

  • Write to hello@octoolo.com from the email address you subscribed with, or reply to your Paddle receipt. Saying what did not work is welcome but not required.
  • Or ask Paddle, Octoolo's merchant of record, directly at https://paddle.net.

There is no refund button in the app or on the account page.

What happens after a refund

  • Paddle pays the money back to the payment method used, usually within 5 to 10 business days, depending on the bank.
  • Per the refund policy, a refunded subscription ends at once: the apps that need Octoolo Cloud close on the person's PCs at Octoolo's next check with octoolo.com (within a few hours while the PC is online). Calculator, Text Studio and Productivity stay open.
  • The account, license key and PCs stay; subscribing again later reopens the apps.

Chargebacks and disputed payments

Paddle handles chargebacks and payment disputes, as merchant of record. A chargeback is slower than asking for a refund: anyone within the refund policy's 30 days (first payment) or 14 days (a renewal) should write to hello@octoolo.com or ask Paddle at https://paddle.net first. Support hands disputed payments to the team.

Charged twice, charged after cancelling, or an unknown charge

  • An unknown charge: Octoolo's charges come from Paddle, in Paddle's name. Look in the email for Paddle's receipt for Octoolo Cloud, ask Paddle at https://paddle.net, or write to hello@octoolo.com with the date and amount.
  • Charged after cancelling or charged twice: write to hello@octoolo.com from the account's email with the date and amount (or forward Paddle's receipt). These go to the team. A renewal that charged someone who meant to cancel is covered by the 14-day refund rule.
  • Charged when the trial ended: the trial turns into the paid plan when its 7 days end, unless it was cancelled before. That first payment is covered by the 30-day money-back guarantee.

Price changes

If Octoolo Cloud's price ever changes, subscribers are emailed at least 30 days before it applies to them. The new price starts from the next renewal after that notice, and they can cancel before it does (terms, section 5).

Billing messages on the account page

Messages the octoolo.com account's Subscription tab can show, and what they mean:

What Octoolo's billing cannot do

  • Octoolo takes payment only through Paddle's checkout. It has no payment option of its own, such as paying Getiket Technologies by invoice or bank transfer.
  • It has no lifetime license, one-time purchase, free plan, team plan or extra seats.
  • The app cannot change the card, plan or cancel by itself: Manage billing opens the octoolo.com account, and Paddle's pages do the change.
  • Support cannot see or change card details, and never asks for them.
  • Uninstalling Octoolo or removing a PC does not cancel or pause the subscription or stop payments.
  • Signing out of octoolo.com does not cancel anything.
